2. Information we collect

We only collect the information we need to respond to you, run our programmes and keep the website working. Depending on how you interact with us, this may include:

  • Contact form: your name, email address, phone number, subject and message.
  • Volunteer applications: your name, email address, phone number, address, area of interest, availability and any experience you choose to share.
  • Course registration: your name, email address, phone number and the course you are registering for.
  • Donation enquiries: your name, contact details and the amount or cause you wish to support. We do not process card payments on this website. Bank or wallet transfers are handled by your own bank or payment provider under their privacy terms.
  • Newsletter: your email address, if you subscribe to updates.
  • Comments: your name, email address and the comment text, if you comment on a blog post.
  • Technical data: IP address, browser type, device type, pages visited, referring page and time of visit. This is collected automatically through server logs and analytics cookies (see section 6).
  • Photographs and video: images taken at our events and programmes may appear on the website or our social media. We ask for consent before publishing identifiable images of children or beneficiaries, and will remove an image on request.

We do not knowingly collect personal information from children under 16 through this website. If you believe a child has provided us with personal information, please contact us and we will delete it.

3. How we use your information

  • To reply to your enquiries and messages.
  • To process volunteer applications and course registrations, and to contact you about them.
  • To acknowledge donations and provide receipts where requested.
  • To send newsletters and updates you have asked for. Every email includes an unsubscribe link.
  • To publish and moderate comments on our blog.
  • To keep the website secure, prevent spam and abuse, and fix technical problems.
  • To understand how visitors use the website so we can improve it.
  • To meet our legal and reporting obligations as a registered non-profit in Nepal.

We do not sell, rent or trade your personal information to anyone.

4. Legal basis

We process personal information on the basis of your consent (for example when you submit a form or subscribe), our legitimate interest in running the organization and this website, and our legal obligations. Where the law of the European Economic Area or the United Kingdom applies to you, these are the bases referred to in Article 6 of the GDPR.

5. Meta platforms: Facebook, Instagram, Threads and WhatsApp

We maintain official pages and accounts on Facebook, Instagram, Threads and WhatsApp, and we use Meta's developer tools (a registered Meta app named "Shrijanshil Nepal") to manage those accounts. Specifically, the app is used by our own team to:

  • publish posts, photos and updates from our website to our official Facebook Page, Instagram account and Threads profile;
  • read basic statistics about our own pages and posts, such as reach and engagement;
  • read and reply to comments and messages sent to our official pages.

The app is used internally by authorised staff and volunteers of Shrijanshil Nepal. We do not offer "Log in with Facebook" or any other Meta login to the general public on this website, and we do not use the app to collect information about the followers or visitors of our pages beyond what Meta shows to every page administrator.

If you interact with our pages on Meta platforms (for example by liking, commenting or sending a message), that information is also processed by Meta Platforms, Inc. under its own Privacy Policy. We see only the information Meta makes available to page administrators, and we use it solely to respond to you and run our pages.

WhatsApp. We operate an official WhatsApp Business Account for Shrijanshil Nepal through the WhatsApp Business Platform, using our registered Meta app. When you message our WhatsApp number we receive your phone number, WhatsApp profile name and the content of your messages. We use this information only to answer your enquiry, which may include an automated first reply, and to send you notifications you have opted in to, such as application status or event reminders. You can stop notifications at any time by replying STOP. Message content is kept only as long as needed to handle your enquiry and is deleted on request as described in the Data deletion section below. WhatsApp messages are also processed by Meta Platforms, Inc. under the WhatsApp Privacy Policy.

If in future we allow you to sign in to our website with a Meta account, we will request only your name, email address and profile picture, use them only to create and manage your account, and update this policy before doing so.

6. Cookies and analytics

Our website uses a small number of cookies:

  • Essential cookies for the session and security (CSRF protection). The site cannot work without them.
  • Cookie consent cookie that remembers whether you accepted the cookie banner.
  • Analytics cookies from Google Analytics, which help us understand which pages are visited and how visitors reach the site. IP addresses are anonymised where the tool allows.

Pages may also embed content from third parties such as YouTube videos and Google Fonts. These services may set their own cookies and collect technical data under their own privacy policies. You can block or delete cookies in your browser settings; the website will still work, although some features may be limited. Full details are in our Cookie Policy.

7. Who we share information with

We share personal information only with service providers that help us run the website and the organization, and only to the extent necessary:

  • our web hosting and email providers, who store the website, its database and our mailboxes;
  • Google (Analytics, Fonts, YouTube) as described in section 6;
  • Meta Platforms (Facebook, Instagram, Threads, WhatsApp) when we publish content or respond to you on those platforms;
  • banks and payment providers, for donations you make by transfer;
  • government authorities, auditors or regulators where we are legally required to do so.

Some of these providers are located outside Nepal, including in the United States and the European Union. Where information is transferred abroad we rely on the provider's contractual safeguards and standard data-protection terms.

8. How long we keep information

  • Contact messages, volunteer applications and course registrations: up to 3 years after our last contact with you, unless you become a volunteer, participant or donor, in which case we keep records for as long as the relationship lasts and as required by law.
  • Donation records: as long as Nepali accounting and non-profit reporting rules require, generally 7 years.
  • Newsletter subscriptions: until you unsubscribe.
  • Server and request logs: up to 90 days.
  • Analytics data: according to Google Analytics retention settings, currently 14 months.

9. Security

The website is served over HTTPS. Access to the administration area and to our Meta app is limited to authorised people with individual accounts and two-factor authentication where available. Form submissions are protected against spam and abuse. No method of transmission or storage is completely secure, so we cannot guarantee absolute security, but we take reasonable technical and organizational measures to protect your information.

10. Your rights

Under the Individual Privacy Act, 2075 (2018) of Nepal and, where applicable, the GDPR, you have the right to:

  • ask what personal information we hold about you and receive a copy;
  • ask us to correct information that is inaccurate or incomplete;
  • ask us to delete your information (see section 11);
  • withdraw consent at any time, for example by unsubscribing from the newsletter;
  • object to or restrict certain processing;
  • complain to a supervisory authority if you believe we have mishandled your information.

To exercise any of these rights, email [email protected]. We will respond within 30 days.

11. Data deletion instructions

You can ask us to delete the personal information we hold about you, including any information obtained through our Meta app or Facebook, Instagram, Threads and WhatsApp accounts, at any time:

  1. Send an email to [email protected] with the subject line "Data deletion request".
  2. Tell us the name, email address or social media profile you used when interacting with us, so that we can locate your records.
  3. We will confirm receipt within 7 days and delete the information within 30 days, then send you a confirmation.

We may keep a minimal record where the law requires it (for example donation records for accounting purposes), and we will tell you if that is the case. To remove data held by Meta itself, use the privacy settings in your Facebook, Instagram, Threads or WhatsApp account. Full instructions are on our data deletion page.

12. Links to other websites

Our website contains links to other websites and social media platforms. We are not responsible for their content or privacy practices. Please read their privacy policies before providing them with personal information.

13. Changes to this policy

We may update this Privacy Policy from time to time. The effective date at the top of the page shows when it was last changed. Significant changes will be announced on the website.
